About Actionstep Capture

ABOUT CAPTURE: At this time, Capture is available to selected pilot customers only. However, all customers will be able to access Capture soon. To learn more about this new product, contact your customer success manager or submit a Customer Support ticket.

Actionstep Capture helps you collect and manage client and matter information through forms. You can create forms you send directly to clients as well as web-based forms you include on your website to do things like gather information about potential clients.

With Capture, you can create a library of client-based forms and web forms that are specifically tailored to your needs. Each field in a form is mapped to a corresponding data field in Actionstep. Clients can manage their forms using a single link, which reduces the number of sign-ins needed to complete each form individually. Prospects and other web users can easily access your forms from your website or emails.

Once clients/prospects submit their forms, you can view the data and easily sync it with Actionstep. This means you can add contacts to your system, assign them to a matter, and update custom data fields with just a few clicks.

Capture forms can gather a few different types of information: contact information (for participant type data), non-participant-type information (used with data collections), and uploaded files

TIP:  When building your forms, you can make certain fields required or optional. For contact sections, it is recommended that you make at least the name and email fields mandatory.

Contact Sections

Information entered in the Contact section of a Capture form is used to create a new Actionstep contact / matter participant. You can create any number of contact sections. If needed, you can also allow multiple contacts of identical participant types to be added to your forms.

Some things to keep in mind:

  • Even if only a part of the Contact section of a form is partially answered when it’s submitted, Capture will attempt to create a new system contact and party affiliation in Actionstep for the form’s corresponding matter.
  • To add a specific participant/contact type to your form, that participant type must be listed in the Parties section of the Matter Type Settings. An admin can manage participant types for a matter by going to Admin >  Matter types > [select the matter type] > Matter type settings.

Data Collection Sections

While questions in a Contact section of a Capture form ask the details about the client or parties associated with a matter, questions in Data Collections sections ask everything else you need to know for a matter.

In Capture, both of Actionstep’s single-row and multi-row data collection types are supported. You may include as few or as many data collection fields from each matter type on a Capture form as you need.
