By default, Actionstep includes a list of common participant types. However, if you have a participant type that isn't included in this list, you can add it so that it can be used in your different matter types as well as in any documents you associate with your matters or clients.
Participant types can be used to classify groups of people within workflows. They are referred to as parties within matters.
To create a new participant type:
- In Actionstep, go to Admin > Additional settings. The Additional Settings page appears.
- In the Participant types section, click Edit. The Participant Types page appears.
- Click Add participant type. The Add Participant Type window appears.
- Add the following details:
- Participant type name: Enter the name for the participant type. This will be added as an option to the potential parties list for matters. It will also be used for the merge field / document assembly. Examples include Court, Psychologist, IT_Consultant, Accountant, etc. NOTE: Names can only include alphanumeric characters (A-Z, 0-9). If the name needs a space, use an underscore (_). Do not use any other special characters (including apostrophes or quotation marks).
- Description: Enter explanatory information regarding the Participant Type if required.
- Company flag value: Click the drop-down list to choose if the participant type should always be a company or an individual by selecting Force Company or Force Individual. If the participant type could be either an individual or a company, select Not Specified (Company or Individual).
- Participant type name: Enter the name for the participant type. This will be added as an option to the potential parties list for matters. It will also be used for the merge field / document assembly. Examples include Court, Psychologist, IT_Consultant, Accountant, etc.
- Click Save to save your changes.
