Updating the Anti-Money Laundering Matter Status

To comply with the New Zealand Anti-Money Laundering (or ALM) regulations, Actionstep gives your firm the ability to conduct a more detailed risk assessment for a specific matter type.


If the AML review status has been enabled for a matter type, all matters of that matter type will show updated status alerts on the matter icon as users complete the various steps of the assessment.




Before you begin: 

  • An admin must enable the AML review status by going to Admin > Matter Types and selecting the matter type you would like to add the status to. Then, click Edit for Matter type settings. In the Other Settings section, toggle Record Anti-Money Laundering (AML) review status to on



TIP:  An admin can set up role-based permissions that limit who can update AML review statuses within your organization. To learn more, see Setting Permissions for AML Status Updates (Admin).

Updating the Review Status for a Matter

You can set or change the current AML status on an individual matter.



To do this:

  1. In Actionstep, edit a matter. See Editing a Matter for help. 
  2. Click the tooltip icon next to the matter name. A pop-up window appears.
  3. Click EditThe Edit Matter Properties window appears.
  4. Click the AML review status drop-down list and choose the applicable status for the AML review. 
  5. Click Save to save your changes. The status alert displayed on the matter icon is updated. 




Configuring AML Status in Workflows (Admin)

An admin can incorporate the AML status field into your workflow's step change so that as you progress through the matter step change process, you can edit the AML status fieldIt can also be added to the initial step. 


To do this: 

  1. In Actionstep, go to Admin > Matter Types.
  2. Click Settings for the matter type you want to change. 
  3. Click Manage next to Workflow. The Workflow page appears.
  4. Click a specific step in the list on the right side of the page. The Edit Workflow Step window appears.
  5. In the Step actions section, toggle AML to on
  6. Click Save to save your changes. 




Adding an AML Status Field to a Custom List View (Admin)

An admin can add the AML status field as a column in a custom matter list view, which allows you to filter and sort any matter lists by that information. 


To do this:

  1. In Actionstep, go to Admin > Custom List Views.
  2. Click Manage next to Matter list views. The Custom Actions Lists page appears.
  3. Click the custom list you want to add AML Status to. The Column Definitions page appears.
  4. Click Add Column and complete the following information:
    • Enter a Label
    • Click the Data Source drop-down list and choose Action
    • In the Action Data drop-down list, choose AML Review Status
    • Complete the other information as needed. (See Creating a Custom Matter List View (Admin) for help.)
  5. Click Save to save your changes. The column is added to that list view. 


Now, whenever you view a custom list for the associated matter type, you will see a column showing the ALM status for that matter. 



NOTE:  When importing matters (by going to Admin > Import data > Matters import), you have the ability to specify the AML status for each matter in the spreadsheet you upload. When you do this, if you leave the AML status column in the spreadsheet blank, the system will create the matter with the default value (Not Started) assigned. Then during the update, Actionstep will leave the status unchanged.


NOTE:  The AML Status is available as a merge field variable which you can include in your document and email templates. The merge field name is AML_Review_Status, and an admin can access it by going to Admin > Document assembly > Merge Field List.
