Setting Up Quick Codes in System Preferences (Admin)

Quick-codes allow you to use pre-set descriptions on tasks, time entries, and invoice payments. They provide a quick way to categorize or tag the type of work you performed. 


The code you create appears in the Quick-code drop-down box when creating tasks, time entries, withdrawals, or client receipts. (You can choose which of these areas the code is associated with.) In your system Timekeeping settings, you can also choose whether the text entered in the long description is used to automatically fill in the description or memo fields on those forms. For example:




Creating a Quick-Code


To create a quick code:

  1. In Practice Management, go to Admin > General settings. The General Settings page appears.
  2. In the Quick-codes section, click Create a quick code. The Quick-Codes window appears.
  3. Enter the following information:
    • Code: Enter the code you want to use for the category.
    • Long description: Enter details about the code.  
    • Where should this quick-code be used: Select the workflow areas in Actionstep where the quick-code can be used.
      NOTE:  If you select Time Entries, you can also assign a rate label to the quick-code. See Creating a Rate Label.
  4. Click Save to save your changes. 



NOTE: Any time you are viewing and selecting a quick-code to associate with the element you're working with (e.g., creating a task or adding a client receipt), you can create a new quick-code by choosing +Create new quick-code at the bottom of any Quick-code drop-down list.




Editing Quick-Codes

You can update or edit any quick-codes that have already been created. 



To do this:

  1. In Actionstep, go to Admin > General settings. The General Settings page appears. 
  2. In the Quick-codes section, click the name for the code you want to edit.
    The Quick-Codes window appears.
  3. Make any changes you need and click Save when you're finished.




Deleting Quick-Codes

You can remove quick-codes you no longer need or use.



To do this:

  1. In Actionstep, go to Admin >General settings. The General Settings page appears. 
  2. In the Quick-codes section, click the name for the code you want to delete. The Quick-Codes window appears.
  3. Click Delete (located in the bottom-left corner of the window). The Delete page appears to confirm your action.
  4. Enter a Reason for deletion and click Delete Selection.
