Deleting or Archiving a General Ledger Account

You can delete or archive a general ledger account in your Accounts List / Chart of Accounts / General Ledger. The Accounts List affects everything that happens in Actionstep accounting, including how you record income and expenses and the layout of your financial reports.


When removing an account, please note the following:

  • You can only delete general ledger accounts that have not had any transactions posted to them or that have any opening balances. 
  • If you have used the general ledger account, you must instead archive it.
  • You can only archive accounts that have zero balances. 
  • If the account has a zero balance, it will be archived and no transactions can be posted to it. 
  • If the account does not have a zero balance, it can't be archived until it has a zero balance and the opening balance has been removed and general journaled to another account.


To delete a General Ledger account:

  1. In Actionstep, go to Accounting > Accounts > Account List. The Accounts List page appears.
  2. Click the Display drop-down list and choose Master Accounts.
  3. Click the name of the account you want to remove. The Edit Account window appears.
  4. Choose whether you want to delete or archive the account (based on the information provided in the introduction above):
    • To delete the account, click Delete, located in the bottom-left corner of the window, then confirm the action by providing the information on the window that appears.
    • To archive the account, click Archive this account, then confirm the action.  
      NOTE:  Depending on the status of the account, you may receive errors. Please address the issues and try again. For example, if transactions have been posted to an account you are trying to delete, you'll need to instead archive it. 


 


TIP:  If you receive an error that says "This account has a non-zero balance so cannot be archived", you can attempt to resolve it by running an Account Entries Report for the account. Then identify the closing balance and use a general journal to move that balance to a different account. For help, see Creating General Journal Entries. Your accountant can help you set up the journal or determine where it should be added.
