Recording the Details of a Phone Call

Modified on Thu, 6 Jun at 6:20 PM

Recording the details of phone calls is an integral part of your workflow. You can use the Phone Calls feature to track the calls you make, who the call was with, what time the call happened and how long it lasted. You can also associate the phone call with a specific matter.

To do this:

  1. In Actionstep, edit the matter you want to associate the phone conversation with. (See Editing a Matter for help.)
TIP: You can also access the Phone Calls feature by going to Comms > Phone Calls. You'll just need to manually associate the call with the matter when you're recording the details.
  2. While viewing the matter, hover over the Comms icon and choose Phone Calls. The page is updated to show the phone calls already recorded for the matter.
  3. Click Create phone call. The New Phone Call window appears.
  4. Provide the following information:
    • Indicate whether the phone call was From or To someone, and then indicate who.
    • Specify the other party's Phone number.
    • Choose which Matter the call is associated with.
    • Enter the Date and Start time when the call took place.
    • Add any notes you want to remember about the call in the Enter notes field.
    • Enter the Duration of the phone call. If you create this new phone call entry at the time you start the call, you can use the recording option to record the time by clicking the record icon. (When you're finished click the button again to stop the timer.)
    • Select Create time entry to record the time on your timesheet.
    • Record the Outcome of the call using the options in the drop-down list.
  5. When all of the details are entered, click Save to save the call details.
  6. If you selected to Create a time entry, you will be prompted to provide additional details for the entry you're creating on the timesheet. See Creating a Time Entry for help completing this form.
