Opening Documents Using Google Docs

Modified on Mon, 3 Feb at 2:55 PM

In this article:

Documents can be opened from Actionstep and edited using Google Docs. Google Docs will automatically save changes made to the document to the Google Docs version, however, those changes will not be saved to the version of the document kept in Actionstep.

You can also access Actionstep-specific folders on Google Drive from your matter.

TIP:  You can implement a file check-out system to keep multiple users from simultaneously editing the same documents. To learn more, see Checking Word and Google Documents In and Out

Enabling the Google Drive Integration

To open matter documents in Google Docs, you must first enable the Google Drive integration.

To do this:

  1. In Actionstep, go to Admin > Integrations. The Integrations page appears.
  2. Click Connect with Google Drive. The Sign In with Google page appears.
  3. Choose the account you want to use to sign in and provide your sign-in credentials.

You are signed in to your Google account.

Opening Actionstep Documents in Google Docs

You can view documents stored in an Actionstep matter using Google Docs. If you make changes to the document, however, those changes will only be saved to the Google Docs version of the document.

To edit matter documents in Google Docs:

  1. In Actionstep, view the matter with the document you want to edit. (See Editing a Matter for help.)
  2. Click the Documents menu icon. The Matter Documents page appears.
  3. Do one of the following:
    • Select the document and click Open in Google Docs from the Open menu that appears.
    • Right-click on a document and choose Open in Google Docs from the shortcut menu.
  4. In the document that appears, make your changes. Just remember that any changes you make are saved to the Google Docs version and not the Actionstep version.

Working with Documents Stored in Google Drive

You can include Google Drive as a folder or pathway to edit documents associated with your matter. Files associated with Actionstep are managed in Actionstep-specific folders in Drive (e.g., My Drive > Actionstep > [orgkey name] > Actions > [matter number]).

To access Actionstep files stored in Google Drive:

  1. In Actionstep, view the matter with the document you want to edit. (See Editing a Matter for help.)
  2. Click the Documents menu icon. The Matter Documents page appears.
  3. On the left side of the document list, click the Google Drive icon/folder.
  4. Select the document in the file list and make any changes you need to it.
