Working with the Google Drive Integration

Actionstep offers an integration with Google Drive where you can see documents related to your matter that are stored in Google Drive from within Actionstep. This article covers how the integration works and how you can set up this integration in your Actionstep.

Setting Up the Google Drive Integration

To set up your Actionstep to be integrated with your Google Drive you will need to be an Actionstep Administrator. When enabled, Actionstep users within your firm can access documents stored in the Actionstep section of Google Drive, but your other documents (not stored in the Actionstep section) should remain private.


To set up Google Drive:

  1. In Actionstep, go to Admin > Integrations. The Integrations page appears.
  2. Click Connect with Google Drive. The Sign In with Google page appears.
  3. Choose the account you want to use to sign in and provide your sign-in credentials. (If you have access to more than one account, be careful to select the correct one.) 


You are signed in to your Google account. 


NOTES: 
• Your access to Google Drive is as an individual. By integrating your account with Actionstep, you are integrating your personal access to Google Drive, not necessarily your company account. This might mean that when viewing the Google Drive integration in Actionstep, your name might appear for the drive. Creating a dummy "company" account for your Google account can be a workaround for this.

• You can assign multiple Google Drive accounts to one Actionstep account.

• You can also integrate with other third-party drive accounts (e.g., Box, DropBox) in the same way. These integrations will appear alongside Google Drive on a matter.



Understanding the Google Drive Integration

Once you've set up the Google Drive integration (see below for details), you will see the Google icon listed in the folders/categories list on the left side of the document list. You can click this icon to view files you are managing using Google Drive. 

TIP:  You can copy/move one or more documents between drives by selecting the documents, right-clicking, and choosing Move/Copy from the shortcut menu. Drag and drop is not available across drives. 

Actionstep's integration with Google Drive gives you access to documents stored on Google Drive from your matter. It does not copy the document stored on Google Drive to Actionstep but instead allows you to see those documents and open them. 


NOTE:  Because documents accessed through the Google Drive integration are not stored in Actionstep, when a user runs the Conflict Check Report in Actionstep, any documents and their content will be excluded from that search.

When you connect to Google Drive, Actionstep creates a set of folders in Google Drive that controls what each matter can access in Google Drive. The folder structure looks like this:


My Drive > Actionstep > [orgkey name] > Actions > [matter number]


EXAMPLE: 
If your organization key is reliablelaw and you want to see documents in action ID 5648 then the folder structure on the external drive will be:

My Drive > 
          Actionstep > 
                    reliablelaw > 
                              Actions >           
                                             5648


Please note the following: 

  • If you have access to more than one Actionstep account, you might see more than one folder in your Actionstep folder.
  • Once connected to your Actionstep system, the folders may be moved or renamed by users in Google Drive. This means your exact configuration may not match the diagram in the example above.
  • Any folders you create in the matter folder (and the documents stored within that folder) will be accessible through Actionstep.
  • If your external drive is already organized using this structure, Actionstep will connect the existing folders to the associated matter instead of creating new ones.
