Creating a Default 'Reason for Payment' for Trust (or Client) Accounting Transactions

NOTE:  In the UK, trust accounts are called client accounts. Throughout this article, any reference to a trust account also means a client account.

You can define one or more responses to be used as Reason for [trust transaction type] fields within trust accounting. For example, when creating a trust payment, you can create a list of reasons that will be included in the Reason for payment drop-down list: 


You can create reason templates for receipts, payments, invoice payments, reversals, statutory deposits (AUS), transfers, and client to disbursements (UK). Users performing these various types of trust transactions can still enter their own reason as well as create new reason templates at the time they are completing the trust transaction, but this option allows you to define the options that will always be suggested by default.




To do this:

  1. In Actionstep, go to Admin > Trust accounting. The Trust Accounts page appears.
  2. In the Additional settings section, click Payment reason templates. The Trust Accounting Payment Reason Templates page appears.

    This page lists all of your existing reason templates and indicates which trust accounting workflows they are available in (T means it's available, F means it's not). You can edit a reason template by clicking its link.

  3. Click Add template. The Create Reason Template page appears.
  4. Enter your Reason text. This reason will be listed in the Reason for field for the transaction workflows you enable in Step 6. 
  5. Enter a Sort order. If you create more than one reason, this will determine how they are ordered in the drop-down list where they are used. 
  6. Select which workflows you want the reason template to be available in. For example, if you want it included in both the Pay invoice and reverse trust payment workflows, select Pay invoice and Reversals
  7. Click Save to save the template text.
