Correcting Time Entry Issues Between Practice Management and Legal Accounting

Overview

When you send a time entry to Legal Accounting, the billing entry is recorded on the client's ledger. If errors occur, either programmatically or by data being incorrectly entered, and a time record needs to be adjusted, you have a few options to correct the issue. If the time has been sent to Legal Accounting, you must modify it in Legal Accounting. If the time has not been sent, you can modify it in Practice Management.

NOTE:  Immediately after sending the time Legal Accounting, you can check if there were any errors with the time export from Practice Management by reviewing the alerts icon in Legal Accounting: 
See Troubleshooting Time Entries Rejected by Legal Accounting (below) for help resolving them.




If you need to adjust time entries after importing them from Practice Management into Legal Accounting, you can make those adjustments in Legal Accounting. 



To do this: 

  1. In Legal Accounting, go to Contacts > File Manager.
  2. Using the search field at the top, enter the matter/file name or ID and select the file from the list of suggestions that appears. Then click the arrow icon to load that matter/file.
  3. Click the Ledger tab. The Client Ledger appears.  
  4. Click on an item in the Entry list.  The File Information window appears.
  5. Click Edit (located at the bottom of the window) and make any required changes.  
  6. Click Save to save those changes.  
  7. Repeat this process for additional time entries as needed.  




If there were errors during the export, you will see a notification in the Legal Accounting global toolbar. You can click this icon to view the errors so you can make any needed adjustments. 



To do this: 

  1. In Legal Accounting, click the alert icon.

    The Notifications window appears.  
  2. Click anywhere in a specific Data Import Error message.

    The Data Import Error window appears.
  3. Click the entryerrors.csv tab and click Download.
  4. Open the downloaded CSV file and review the information in the Failed Test column. This reason for the failure identifies the issue so you can avoid it in the future.

    In the following example, the issue was an invalid task code.
  5. Correct the issue in Legal Accounting by entering the correct information. There are two ways you can do this:
    • If there are only a few entries, manually enter them into Legal Accounting.
    • If there are many entries, download the .CSV file from the alert notification icon and drag and drop it onto the Legal Accounting Timesheet. The entries will appear and the errors will be highlighted by red underlines. Correct and save the entries.
