Processing Refunds with Xero Integration (Practice Pro + Accounting only)

Important Note: This guide applies only to users with the "Practice Pro + Accounting" subscription tier and who are connected to Xero.


Refunds and Xero Integration:

The Xero integration in Actionstep is designed for one-way data flow, meaning information flows from Actionstep to Xero, not the other way around. Refunds are not supported by this one-way integration and as a result, the Refund button is disabled when your system is connected to Xero.


How to Process a Refund:


Disable Xero Sales Invoice Sync:

  • Go to Admin > Accounting > Xero: Mapping.
  • Locate the Sales Invoice sync option and toggle it off


Important note: Disabling this sync will prevent invoices from being posted to Xero. It's crucial to ensure no invoices are created during this time.

Process the Refund:

  • Click the green global Create button (top right corner) and select Client Refund.
  • Fill in the necessary details and complete the refund process.


Re-enable Xero Sales Invoice Sync:

  • Once the refund is completed, return to Admin > Accounting > Xero: Mapping and toggle the Sales Invoice sync back on.


Process the Refund in Xero (Separately):

  • Please note that you will need to manually process the same refund in Xero to ensure accurate accounting records.


By following these steps, you can successfully process refunds in Actionstep even while connected to Xero. Remember to manually process the refund in Xero to maintain data consistency.
