Tracking Marketing Expenses

You can track your marketing expenses in your accounting system. 


To do this, you must enter supplier invoices for those marketing expenses:

  • If you are using the Actionstep's native accounting functionality, marketing expenses are already being tracked and there are just a few additional steps. 
  • If you use an accounting integration, you decide whether you double-enter supplier invoices in Actionstep or you obtain your marketing expenses from your accounting package to compare with the income from this report. Follow the instructions for your accounting package to do this. 




Creating Supplier Invoice for Tracking Marketing Using Native Accounting



To create a supplier invoice for tracking marketing expenses:

  1. Complete the instructions in Creating a Supplier Invoice/Vendor Invoice, paying attention to following options.
  2. On Step 3 of the New Supplier Invoice workflow:
    • Choose the marketing medium from the Supplier drop-down list. For example, if you're using Facebook marketing, select your Facebook contact from this drop-down list. (You may need to create a contact for the marketing contact. You can do so by choosing New participant from the drop-down list.)
    • In the Related Matter field, choose the matter for the marketing activity/medium the invoice is related to. For example, if you've created a Facebook activity matter, select it from this list. (These are the matters you created in Setting Up Matters for Tracking Marketing Activities and Sources.)
  3. On the Supplier Invoice page, on the Supplier Invoice Items tab, click New Line Item and enter the information about the expense, including the Total Cost. You do not need to bill this expense so leave the Bill checkbox cleared.
  4. Save and close the invoice after confirming you do not want to bill for the invoice. 


The invoice is saved and associated with your marketing campaign matter (the matter you created in Creating a Marketing Campaign). The expense appears in the marketing campaign next to the corresponding marketing activity:

(You can access your marketing activities chart by searching for your marketing campaign matter, hovering over the Home menu icon, and choosing Campaign Overview.)
