In some situations, you may need to delete an invoice that you have drafted or produced for a client.
When working with invoices, it's important to note the following:
- It may not be necessary to delete an invoice if the invoice has not yet been produced. If the invoice is still in Draft status, you can simply edit the invoice or time entries before approving it.
- Time entries cannot not be edited once the invoice has been produced.
- If the invoice is already approved, you must revert the invoice back to Draft status using the Revert to Draft button located at the top of the Bill Production screen in Mass Billing. In situations where the invoice was created in error, you may still want to delete the drafted invoice.
- Produced invoices cannot be edited and must be deleted and reissued. Keep in mind that it may be possible that the client has already received the invoice and verifying that it is appropriate to delete a produced invoice is critical.
CAUTION: Once an invoice is deleted, there is no way to recover it. If an invoice is deleted the WIP (or work in progress) is added back to the matter so the invoice can be produced again, if needed.
To delete an invoice:
- Find the invoice you want to edit or delete:
- Go to Billing > Bills list and click link for the invoice you want to delete.
- View a matter, click its Billing menu icon, and click the Invoices link on the left side of the page. Then click the link for the invoice you want to edit.
- While viewing the sale invoice window, click Delete.
- When prompted, confirm you want to delete the invoice
