About Actionstep Workflows (Admin)

Actionstep Practice Management allows you to take your work process and build it into your matters. Specifically, you identify the individual steps or milestones you must accomplish as you complete a matter. You can then organize those steps in the order you want and have those steps trigger workflow-specific automation.


With tailored workflows, you can automate your matter progression, client management, administrative processes, and more. With each step, you can collect information, assign tasks, and make sure everything is checked off before moving to the next step. 


In short, workflows are the key to transforming your law practice into an efficient business. 




Accessing the Workflow Setup Page for a Matter Type

The Workflow setup page lets an admin customize the workflow for individual matter types.



To access the workflow setup:

  1. In Actionstep, go to Admin > Matter types. The Matter Types page appears.
  2. Click Settings for the matter type you want to configure.
  3. In the Workflow section, click Manage. The Workflow page appears.
  4. Familiarize yourself with the page or configure your workflow or set up your workflow steps.




Understanding the Workflow Setup

The Workflow setup page is organized like this:


A. Workflow diagram is where you define the order your steps will appear in your matter. Users must complete these steps in the sequence you design. 


B. Add step to workflow tree lets you add an additional step to the workflow tree. If you need to add a new step, create it first using the Create new step option. 


C. Steps lists all of the steps available for the matter type. You can click Create new step to add an additional step. To add it to the Workflow diagram, click Add step to workflow tree

Viewing the Workflow Ribbon in a Matter

Once you have created and saved your workflow, you will see a workflow ribbon for each matter you create. This ribbon appears at the top of the matter so you can see which step you are on as you work through the matter. Items on this workflow ribbon may have requirements you must complete in order to move to the next step. Additionally, some steps may trigger other events, like sending emails.

 

TIP:  Before building your workflow, you might consider what you want to achieve. Many users like to map out the process separately first and then build the workflow into Actionstep.
