Editing Workflow Step Actions – Accounting Restrictions (Admin)

When setting up a workflow step, you can choose specific actions that should take place. This article covers how to adjust accounting restrictions for specific step actions.  



To do this:

  1. In Actionstep, go to Admin > Matter types. The Matter Types page appears.
  2. Click Settings for the matter type you want to set up a workflow for. 
  3. Click Manage in the Workflow section. The Workflow page appears.
  4. In the Steps list (right side of the page), select the step you want to edit. The Edit workflow window appears.
    NOTE:  To learn how to add a step, see Creating Steps For Your Workflow.
  5. In the Step actions section, toggle Accounting restrictions to on. An Accounting Functionality section is added below.
  6. Choose from the following options: 
    • Can create Sales Quotes: This option is no longer supported and will be removed in the future.
    • Can create Sales Orders: This option is no longer supported and will be removed in the future.
    • Can create Invoices: When this option is toggled to off, the following warning will appear when a user attempts to create an invoice on this step. Please note this will not stop the invoice from going through.
    • Can create supplier quotes: When this option is toggled to off, users will not be able to create supplier quotes and will see the following message.
    • Can create purchase orders: When this option is toggled to off, users will not be able to send purchase orders. However, they can create purchase orders and save them as drafts. Users will receive the following message if they try to close the purchase order:
    • Can create supplier invoices: This option is no longer supported and will be removed in the future.
  7. Click Save to save your changes.
