LawPay is the preferred payment provider solution for lawyers in America. The integration will insert a "Pay Now" link into the emails of bills you send to your clients, allowing them to process credit card payments for that bill.
In this article, we will explain how LawPay will work for your customers and how you will see the results of the transactions once your customers complete payments through LawPay. We will also run through how you can refund payments back to clients through LawPay if you find an error.
Understanding how LawPay works
The good thing about Actionstep's LawPay integration is that you don't need to do much to gain its benefits.
Once set up in your system, your clients will notice a new link appear in the emails you send them with their bill. You can also add this link to the invoices.
A client will click the link and be prompted to enter their credit card details. The details can be stored to be used for subsequent bills. Once loaded, the client can process a payment with the credit card.
LawPay will put the money into your bank account, and the client's payment will appear in Actionstep against the applicable invoice.
What your clients see
The email that your clients will receive will be like the one below. When clicked on, the blue link will guide them to a screen where they can enter credit card details.
What you will see in Actionstep when a client pays
Once a client completes a payment, LawPay will notify Actionstep and automatically create a client payment transaction in Actionstep.
These transactions will appear in your typical list of client payments. Under Bills (at the very top of Actionstep) choose Payments.
The memo of the payments will be populated with "LawPay Payment" and some privatized details of the credit card so it can be identified if needed.
There is also a dedicated list of just LawPay payments accessible in the Admin area. You can process a refund of a LawPay credit card payment here if necessary.
Processing refunds through LawPay
You can refund any funds received through a LawPay payment to the client's credit card. This is done through a dedicated list of all LawPay payments that you can access from the Admin section.
To access the list, go to Admin at the top right of Actionstep, click on Integrations, and then click 'Manage' beside LawPay.
Click on Payment History to see all LawPay payments that have been made.
Admin > Integration > LawPay > Manage > Payment History.
To the right-hand side of the list will be a column called Refund. Within that column will be a link to refund a payment. Only those transactions that are eligible for a refund (i.e., have not already been refunded) will have the link.
Click the link, fill in the details, and tick the confirm tick box before you process the refund.
Once refunded, Actionstep will show a new payment in the Payment History and a reversal payment against your invoice.
Considerations with the Actionstep LawPay integration
Please consider the following as you use Actionstep's LawPay integration.
Refunds and voided transactions processed in LawPay:
With your LawPay subscription, you can log into your LawPay account, see previous transactions, change settings, and make changes to transactions. There are void and refund functions that you can do while logged into the LawPay portal. Please note, that any refunds you process there will not be reflected in Actionstep. A refund will not reverse the payment in Actionstep, and the invoice will still show as paid.
Credit card records:
Credit card details are not stored on your Actionstep account; in fact, they are not stored by Actionstep at all. All credit card details are stored by LawPay. You cannot see any more details about your client's credit card in Actionstep than the information that appears in the payment memo.
Other payment options:
Actionstep's LawPay integration only allows credit card payments. While LawPay might support other payment methods besides credit card payments, these are not currently available through Actionstep.
