Creating a Credit Note for a Supplier Invoice Linked to Xero

You can create and apply credit notes for supplier invoices linked to Xero.


There are four parts to this process:



Part 1: Creating the credit note for the invoice:

  1. In Actionstep, go to Accounting > Supplier Invoices > Supplier Invoice. The Supplier Invoice page appears.
    NOTE: Depending on how your Actionstep Accounting system is set up, the second menu item in the path above (Supplier Invoices) may show something else, like Purchases, Payables, or Vendor.
  2. Click Create Credit at the bottom of the page. 
  3. When prompted to confirm the action, click OK
  4. Complete the two-step wizard and make any alterations you need to the credit supplier invoice. (For more information on creating a credit, see Crediting a Supplier Invoice/Vendor Invoice.)
  5. Click Save when you are finished. 

    This creates a draft credit that is not linked back to Xero. If you try to save and close this credit, you will see an error message. To move the credit from draft to open you will need to turn off the Xero integration.
  6. Proceed to Step 1 of Part 2, Unlinking and Turning off the Xero Supplier Invoices Integration. 



Part 2: Unlinking and Temporarily Turning Off the Xero Supplier Invoices Synchronization:

CAUTION:  Turning off the supplier invoices synchronization within the Xero integration will stop any supplier invoices created in Actionstep or any payments allocated to supplier invoices from being processed in Xero. It is a good idea to let all other staff members know that you are turning it off and to not do any work involving supplier invoices until you have switched the integration back on. 
  1. In Actionstep, go to Admin > Integrations. The Integrations page appears.
  2. Click Manage next to the Xero listing. The Accounting page appears.
  3. Click Edit next to the Xero: Sales Invoices option. The Linked Xero Invoices List page appears.
  4. Find the supplier invoice that you are creating the credit for and select its checkbox.
  5. Click Unlink from Xero button and then confirm the action.
  6. Using the breadcrumb at the top of the page, click Accounting to return to the main Accounting settings page. 
  7. Click Edit next to the Xero: Mapping option. The Xero Integration Configuration page appears.
  8. Toggle Supplier Invoices to Off.
  9. Click Save.
  10. Return to your draft credit note and click Save. (This will change it from draft status to open status.)
  11.  Apply the credit. (See Crediting a Supplier Invoice/Vendor Invoice for more information.)
  12. Proceed to Step 1 of Part 3, "Applying a Credit to a Supplier Invoice in Xero".


Part 3: Applying a Credit to Supplier Invoice in Xero:

  1. In Xero, go to Business > Bills to pay
  2. Click the supplier invoice. 
  3. Click the Bill options drop-down list and choose Add credit Note.
  4. Click Approve.
  5. Proceed to Step 1 of Part 4, "Reenabling the Supplier Invoices Synchronization." This is an essential set of steps where you will switch the synchronization back on to allow Actionstep to send information to Xero. 


Part 4: Reenabling the Supplier Invoices Synchronization:

  1. In Actionstep, go to Admin > Integrations
  2. Click Manage next to the Xero option. 
  3. Click Xero: Mapping
  4. Toggle Supplier invoices to On.
  5. Click Save to save your changes.
