When setting up a workflow step, you can choose specific actions that should take place. This article covers how to adjust trust accounting-related step actions. Specifically, you can choose to have your matter automatically open a trust accounting record for this matter as the user moves to this step.
NOTE: To process trust funds through a matter, you must add an account to it. This is the process of selecting which trust bank account you will use to store client funds. See Associating a Trust Account with a Matter.
To do this:
- In Actionstep, go to Admin > Matter types. The Matter Types page appears.
- Click Settings for the matter type you want to set up a workflow for.
- Click Manage in the Workflow section. The Workflow page appears.
- In the Steps list (right side of the page), select the step you want to edit. The Edit workflow window appears.NOTE: To learn how to add a step, see Creating Steps For Your Workflow.
- In the Step actions section, toggle Trust accounting data to on. A Trust Accounting section is added below.
- Click either the Current account or Investment account drop-down lists and choose from the following options:
- (Not applicable): Choose this option if you don't want to prompt users to open a trust bank account on this step change.
- Optional: Choose this option if you want to give users the chance to choose whether to open the trust account.
- Required: Choose this option if you want to force the user to choose whether to open the trust account.
- When finished making changes, click Save.
If a trust account has been added to the matter when the user moves to the step, the accounts and their status will be listed.
NOTE: While the terms Optional and Required for this setting indicate users can still choose not to add a trust account while moving to a new step, Required dictates whether the checkbox to add an account is selected or not.
