Managing Capture User Roles

You can control which users can manage Capture forms and receive website form submission notifications by assigning one of two Capture roles: super user and user.

Super users:

  • Have all capabilities for using Capture, including publishing and unpublishing Capture forms.
  • Receive email notifications whenever a website form is submitted. (This is the only way the firm is notified when a web form is submitted.)

Standard users:

  • Can send forms from matters
  • Review matter and web form submissions
  • Import data from form submissions into Actionstep

Note: Admins accessing Capture for the first time will be added as super users by default. Similarly, non-admins will be added as users.

To change a user's Capture role:

  1. In Actionstep Practice Management, go to Admin > Capture > Members. The Members page appears, showing your Capture users.
  2. Locate the user whose role you want to change.
  3. Click the Role drop-down list for that user and choose the role for the user. Your options are Super User and User.

Note: If multiple admins are receiving website form submission emails, you can reduce the number of notifications by changing some of them from Super User to User. For example, if your firm has five admins, you might keep one user as a Super User to manage forms and receive submission notifications, while changing the other four to User. This prevents them from receiving notification emails, but keep in mind they will no longer be able to publish or unpublish Capture forms.
