Rates and Overrides Report

Note: This report is currently available to beta testers only. If you are interested in participating in this beta, please contact Actionstep Support.

To enable this report in your system, an admin can go to Admin > General settings and toggle Rate labels and overrides report to on.

 

Brief Description

Actionstep Practice Management allows admins to set multiple rate labels and configure overrides that will customize the value of those rate labels based on the timekeeper recording the time, the client listed on the matter, or the matter itself. This allows users to easily pre-set how they want to charge for their time, making it faster and easier to enter the time.

However, because there are such a large number of overrides available, it may become difficult for your firm to know how you will be charging your clients. This is particularly important to know when your firm wants to update your charge-out rates. This report will help you identify where users have set overrides and how they are applied.

 

Use Cases

This report gives your firm clarity on how it is charging time and what settings are applying those rates. It also makes it clear which settings need to be updated in Actionstep when trying to update your firm's charge-out rates.

The report can show:

  • All the rate labels and their current amounts.
  • All of the overrides that have been set on a matter, client contacts, and timekeepers and what price they apply to each rate label.
  • All of the overrides that have been set on price group overrides and what price they apply to each rate label
  • An applicable rate that will list all matters and how each rate label will be charged for that matter, given the various overrides that could be applied to it.

 

Finding and  Using the Report

  • In Actionstep Practice Management, go to Reports > Billing Reports. (Your menu may show Reports > Billing Reports > Reports List.)
  • In the General section, click Rates and Overrides Report. The report is displayed.

Available Filters

Basic Tab

  • Effective rate per matter: Toggle this option to on to show each matter and the effective rate that will be charged for each rate label.
  • Matter overrides summary: Toggle this option to on to show which matters have overrides and the amounts that those overrides apply to each rate label.
  • Client overrides summary: Toggle this option to on to show the clients that have overrides and the amounts that those overrides apply to each rate label.
  • Timekeeper overrides summary: Toggle this option to on to show timekeepers that have overrides and the amounts that those overrides apply to each rate label.
  • Price Group override summary: Toggle this option to on to show the price groups and the amounts they apply to each rate label. (This is only applicable if price groups are set up.)

 

Advanced Tab

  • Matter type: Select the matter types you want included in the report. (This filter will only affect the Effective rate per matter and Matter overrides summary sections.)
  • Matter: Select the matters you want included in the report. (This filter will only affect the Effective Rate Per Matter, Matter Overrides Summary, and Client Overrides Summary sections.)
  • Customer: Select the clients you want included in the report. (This filter will only affect the Effective rate per matter and Matter overrides summary sections.)
  • Bill type: Select the billing arrangements (hourly and/or fixed fee) you want included in the report. (This filter will only affect the Effective rate per matter and Matter overrides summary sections.)
  • Include closed matters: Toggle this option to on to include closed matters in the report. (This filter will only affect the Effective rate per matter and Matter overrides summary sections.)
     

 

Report Output

This report includes the following sections:

 

Effective Rate Per Matter

This section of the report shows how much will be charged for each rate label given any overrides that might be in your system.

The effective rate would be the rate that is applied by default when a timekeeper records time on that matter using that rate. It takes into account if there are any overrides in place (and the hierarchy of these overrides) and displays the amount that will be applied. If there is no override that would effect a given rate label it would show the default rate. 

Note, this will not take into effect any timekeeper overrides. If there are no other overrides on a rate label for a given matter, time may still be recorded at a different rate for some individuals.

  • Matter ID: Shows the matter ID to which the table row information is attributed.
  • Matter: Shows the matter name.
  • Client: Shows the client listed on the matter. 
  • Rate Label [N]: This shows the different rate labels used in your system with the rate amounts assigned to each label. 
  • Matter overrides apply: Indicates whether a matter override has been used.
  • Price group override applies to the matter: Indicates whether a price group created for the matter has been used. 
  • Client overrides apply: Indicates whether a client override has been used.
  • Price group override applies to the matter: Indicates whether a price group created for the client has been used. 
  • Matter default rate label: Shows the default name of the rate label that is set on the Matter Billing Options.

 

Matter Overrides Summary

  • Matter ID: Shows the matter ID.
  • Matter: Shows the matter name.
  • Client: Shows the client listed on the matter. 
  • Rate Label [N]: Shows the different rate labels with their override amounts. The first row in this column shows the Default rate. 

 

Client Overrides Summary

  • Contact: Shows the client's name. 
  • Rate Label [N]: Shows the different rate labels with their override amounts. The first row in this column shows the Default rate. 

 

Timekeeper Overrides Summary

  • Timekeeper: Shows the timekeeper's name.
  • Rate Label [N]: Shows the different rate labels with their override amounts. The first row in this column shows the Default rate. 

 

Price Group Overrides Summary

  • Price Group: Shows the name of each price group in your system. 
  • Rate Label [N]: Shows the different rate labels with their override amounts. The first row in this column shows the Default rate.
