To access the Firm Management dashboard:
- In Practice Management, go to Insights > Business Intelligence. The Insights page is displayed.
- Select Firm Management from the list of options on the left side of the page. The Firm Management Dashboard is displayed.
The data in the summary financial breakdown group of charts (which appears at the top of the page) provides a clear snapshot of your firm’s financial position and performance by tracking four key metrics:
- Work in Progress shows the value of unbilled work (including any time that has been added to draft invoices) as at the selected point in time.
- Billed Fees highlights the total invoices raised during the selected period, giving insight into billing activity.
- Collected Fees reflects the payments received in that same period, helping you understand cash inflows.
- Outstanding Fees shows the total unpaid invoices as at the selected point in time, providing visibility into your firm’s receivables.
By monitoring these metrics together, you can assess cash flow health, billing efficiency, and collection performance, making it easier to manage your firm’s financial operations effectively.
Work in Progress Card
This card shows the value of unbilled work (including any time that has been added to draft invoices) as at the selected point in time. Clicking this card opens the WIP Report for a detailed breakdown (the details of which are covered in the "Work in Progress Report Details" section, below).
The amount listed in this card combines Fees Unbilled + Fees Unbilled (Draft Invoices) and reflects the balance on the last date of the selected filter.
For example, if your date range is set to Month to Date and the current date is 30 November 2025, the value reflects November 30, 2025. If you select Last Month, the value reflects October 31, 2025.
WIP Fees Report Details
This report shows each matter on its own row in the table. You can filter the information based on the "As at" date (which applies to amounts and totals).
The report includes the following information:
- Matter ID: Shows the matter ID.
- Matter Name: Shows the name of the matter.
- Client Name: Shows the name or names of the client. This is the primary participant.
- Matter Type: Shows the matter type.
- Matter Status: Shows the status of the matter: active, inactive, or closed.
- Responsible Lawyer: Shows the name of the person who is responsible for the overall outcome of the case. (See Understanding the 'Responsible Lawyer' Role in Actionstep Billing to learn more.)
- Fee Earners: Shows the name or names of the fee earners.
- Aging Bucket: Shows the staleness of the WIP fees.
- WIP Fees: Shows all the fees that are unbilled (excluding disbursements and tax).

Draft WIP: Shows all fees that are included on draft invoices (excluding disbursements and tax).
Note: Current open and closed invoices are treated as draft for a given as-at date if the as-at date is on or after the created date and before the invoice date

Unbilled disbursements (exclusive of tax): Shows all disbursements that are not yet billed (excluding tax). You can review your unbilled disbursements by going to Billing > Mass Billing and viewing the Disbursements column.
Note: Current open and closed invoices are treated as draft for a given as-at date if the as-at date is on or after the created date and before the invoice date.
- Unbilled Tax (including draft invoices): Shows the tax on fees and disbursements, including draft invoices. You can review the tax by viewing the draft invoice. You can also verify the unbilled disbursements by going to the matter's Billing page and clicking Disbursements. Then review the Tax and Bill Status columns.
- Total WIP: Shows the total WIP + value of time entries and disbursements in draft invoices and ignores any adjustments/discounts on draft invoices. You can review the total WIP by going to Billing > Mass Billing and reviewing the New Charges column. You can also check WIP on a draft invoice by going to Mass Billing > Draft Invoices. Then review the Inv Amount.
Billed / Invoiced Fees Card
This card highlights the total invoices raised during the selected period (excluding taxes and disbursements), giving insight into billing activity.
This amount is related to the Fees Billed column. The value is dynamically updated based on the chosen date range. For example, selecting Last Month will show the total fees invoiced during that month.
Billed Fees Report Details
This report shows each invoice on its own row. You can filter the data based on date range. Draft and deleted invoices are not listed.
- Invoice Number: Shows invoice number.
- Invoice Date: Shows the date of the invoice.
- Prepared By: Shows the name of the internal staff member who created the invoice.
- Matter ID: Shows the matter ID.
- Matter Name: Shows the name of the matter.
- Client Name: Shows the name or names of the clients associated with the matter.
- Matter Type: Shows the matter type.
- Responsible Lawyer: Shows the name of the person who is responsible for the overall outcome of the case. (See Understanding the 'Responsible Lawyer' Role in Actionstep Billing to learn more.)
- Fee Earner: Shows the name or names of the fee earners.
- Matter Status: Shows the status of the matter: active, inactive, or closed.
- Invoiced Fees: Shows the amount of the fees that have been invoiced (excluding disbursements and tax). You can review this amount by going to Billing > Mass Billing and clicking Bill Production. Then review the Fees column.
- Disbursement Fees: Shows the amount of the disbursements that have been invoiced (excluding the tax). You can review this amount by going to Billing > Mass Billing and clicking Bill production. Then review the Disbursements column.
- Tax: Shows the amount of the tax that has been invoiced. You can review this amount by going to Billing > Mass Billing and clicking Bill production. Then review the Tax column.
- Total Invoiced: Shows the total amount of the invoice. You can review this amount by going to Billing > Bill list and reviewing the Total column.
Collected Fees Card
This card shows the payments received in that same period, helping you understand cash inflows. Specifically, it displays the total value of payments received against invoiced fees during the selected period, but excludes taxes, disbursements, credits, and write-offs.
This amount is dynamically updated based on the selected filter. For example, selecting Last Month will show all fee payments received during that month.
Collected Fees Report Details
This report shows each invoice payment on its own row. You can filter the data based on date range. Write-offs and credits are not included in the list.
- Invoice No.: Shows invoice number.
- Invoice Date: Shows the date of the invoice.
- Matter ID: Shows the matter ID.
- Matter Name: Shows the name of the matter.
- Client Name: Shows the name or names of the clients associated with the matter.
- Matter Type: Shows the matter type.
- Responsible Lawyer: Shows the name of the person who is responsible for the overall outcome of the case. (See Understanding the 'Responsible Lawyer' Role in Actionstep Billing to learn more.)
- Fee Earners: Shows the name or names of the fee earners.

- Payment Date: Shows the date the payment was made. You can review this information by going to the matter's Billing > Payments page and reviewing the Date column.
- Payment Method/Reference: Shows the payment method and payment reference. You can review this information by going to Billing > Payments and reviewing the Method/Ref column.
- Fees Collected: Shows the portion of the payment that is allocated to fees only (which excludes disbursements and tax). You can review this information by clicking the edit icon on the Create Payment window and then reviewing the amounts in the Amount and Split % columns.
- Disbursements Collected: Shows the portion of the payment that is allocated to disbursements (which excludes tax). You can review this information on the Receipt Fee Allocation window, which you can access by creating a new client receipt.
- Tax Collected: Shows the portion of the payment allocated to tax. You can review this information on the Receipt Fee Allocation window, which you can access by creating a new client receipt.
- Total Collected: Shows the total payment allocated to an invoice (excluding write-offs). You can review this information by going to a matter's Billing > Bill List page and reviewing the Paid column.
Outstanding Fees Card
This card shows the total amount of unpaid fees (excluding taxes and disbursements) currently due at the selected point in time, which helps provide visibility into your firm’s receivables.
This figure reflects the balance as of today and does not change when you adjust the date filters.
Outstanding Balances Report Details
This report shows each invoice on its own row.
- Invoice Number: Shows invoice number.
- Invoice Date: Shows the date of the invoice.
- Due Date: Shows the due date for the invoice.
- Matter ID: Shows the matter ID.
- Matter Name: Shows the name of the matter.
- Client: Shows the name or names of the clients associated with the matter.
- Matter Type: Shows the matter type.
- Responsible Lawyer: Shows the name of the person who is responsible for the overall outcome of the case. (See Understanding the ‘Responsible Lawyer’ Role in Actionstep Billing to learn more.)
- Fee Earners: Shows the name or names of the fee earners.
- Matter Status: Shows the status of the matter: active, inactive, or closed.
- Total Fees Owing: Shows the total fees that are owed on the invoice (excluding disbursements and taxes).
- Total Disbursements Owing: Shows the total disbursements that are owed on the invoice (excluding tax).
- Total Tax Owing: Shows the total tax owed on the invoice.
- Total Outstanding: Shows the total balance outstanding on the invoice. You can review this information by going to a matter's Billing > Bill List page and reviewing the Due Date and Due columns.
- Days Outstanding: Shows the calculation of days between the invoice due date and today's date. This will be blank if today's date is within this date range.
