Adding WIP to a Draft Bill/Invoice

Since many fee earners might need to review a bill before it is sent to the client, a bill may stay in draft status for a week or longer. While this bill is in draft, you may need to add additional unbilled fees or disbursements / expenses (or work in progress) to it. You can do this from both the draft invoice itself as well as the matter’s Billing page.

Adding WIP While Viewing the Draft Bill / Invoice

While reviewing your draft invoice, you can view and add WIP that hasn't been included in the invoice.

Before you begin:

  • An admin must enable this option by going to Admin > General settings > Feature preview and toggling Add WIP from draft invoice screen to on.

To add unbilled fees and disbursements to a bill from the Draft Bill/Invoice screen:

  1. In Practice Management, view the matter with the unbilled time entries you want to add to an existing draft invoice. (See Editing a Matter for help.)
  2. Click the Billing menu icon. The Billing page appears.
  3. Click the Invoice bill > Draft button. The Edit Draft Bill/Invoice window appears.
  4. Click the Fees tab or the Disbursements / Expenses tab.

If there are fees or disbursements / expenses that have not yet been added to this draft bill, you will see a [N] Excluded button to the right of the tabs. (You'll need to click both the Fees and the Disbursements / Expenses tabs to check for WIP for both types of charges.)

NOTE:  If there is a fee adjustment on the draft invoice, adding fees will not affect this. However, if there is a manual adjustment to the fee allocation on the draft invoice, adding fees will remove this, reapplying the fee allocation rules set on the matter.

  5. Click the [N] Excluded button. The Add Excluded Fees / Disbursements to the Invoice window appears.
  6. Review the items and select the checkbox for those you want to add to the bill.
  7. Click Add fee to update your draft bill with the additional charges.
  8. Proceed with saving your invoice as a draft or saving and approving it.

Note: If this option is not enabled in your system, you will instead see a note indicating fees or disbursements / expenses may be available to be added. In this case, review the information in Adding WIP from the Matter's Billing Page (below) to learn how to add it.

Adding WIP from the Matter's Billing Page

While viewing the Fees or Expenses / Disbursements page of your matter's billing, you may see entries that have not yet been added to your draft bill or invoice. You can add them from this view.

To add WIP to a draft bill:

  1. In Practice Management, view the matter with the unbilled time entries you want to add to an existing draft invoice. (See Editing a Matter for help.)
  2. Click the Billing menu icon. The Billing page appears.
  3. From the menu on the left, click either Fees or Expenses / Disbursements. A list of fees or expenses / disbursements is displayed.

TIP:  You can use the Filter > Bill Status option to update the list to show only unbilled transactions.

  4. Select the checkbox for the unbilled fee or expense/disbursement you want to invoice and choose Add to draft bill.

The Add WIP to Draft Invoice window appears.
  5. Review the information in the table and confirm which items you want to add to the draft bill. (This helps ensure nothing is added by mistake.)

NOTE:  If there is a fee adjustment on the draft invoice, adding fees will not affect this. However, if there is a manual adjustment to the fee allocation on the draft invoice, adding fees will remove this, reapplying the fee allocation rules set on the matter.

  6. If you have multiple draft invoices, click the Select invoice to add WIP to drop-down list and choose the invoice. Otherwise, the draft invoice that will be used is displayed at the bottom of the window.
  7. Click Confirm. The fees or disbursements are added to the draft invoice.
