Reviewing Time and Fee Entries

There are many different ways you can enter time and fees in Actionstep Practice Management. (See Creating a Time Entry for complete instructions.) Regardless of how time is entered, all time records and their associated charges can be viewed in the associated matter.

To view fees entered for a matter:

  1. In Practice Management, view the matter for the fees you want to review. (See Editing a Matter for help.)
  2. Click the Billing menu icon. The Billing page appears.
  3. Click the Fees link on the left side of the page. A list of fees is displayed, showing the following information:

    Column  Description
Date Shows the date of the time entry.  This is the date to which the time entry relates not the date the time was entered.
Timekeeper Shows the timekeeper who recorded the time.
Quick-code Displays the quick code associated with the time entry.
Description Shows a description of the time entry.
Effective Rate Lists the value of the time record.
Hours Worked Shows how many hours were worked.
Hours to Bill Lists how many hours are billable. (This differs from hours worked since some time may not be billable.)
Rate Label Displays the rate label associated with the time entry.
Rate Source Displays what rate source the time entry is utilizing. (This comes down to the rate hierarchy and how it is implemented.)
Bill Amount Shows the total value of time that is to be billed.
Bill Status Shows the status of the time entry: unbilled, non-billable, or billed.
Inv No. Displays the invoice number where the time entry has been billed to.

The total WIP (work in progress) ready to be billed (invoiced) is displayed on the Invoice/Bill now button:

You can click the Bill / Invoice button to create the bill and review the time entries that are ready to be billed.

From here, you can save the invoice as a draft, or save and approve it so it can move into the billing workflow. You can also view a PDF preview of the invoice that will be sent to the client.

NOTE:  To learn more about fixed fee billing, see Setting Up a Fixed Fee Billing Arrangement for a Matter.
