Matter Invoice List Report

Brief Description  

This report shows a list of invoices by matter. It is a legacy report that worked best with considerably older versions of Actionstep Practice Management's accounting system.

 


Use Cases 

It shows what invoices you still have open for a particular client or group of clients. It is also useful for viewing historical invoices for certain actions.  You can also use this report to create custom lists for open, closed, or draft invoices in a selected time period. For example, you can create a custom list for a specific attorney's open invoices by selecting the Date Due, Total, and Amount Paid filters. Or, you can create a custom list showing all draft invoices for a specific attorney.

 


Finding and Using the Report

  • In Actionstep Practice Management, go to Reports > Matter Reports. (Your menu may show Reports > Matter Reports > Reports List.)
  • In the Matter Financial, section, click Matter Invoice List. The report is displayed.

Available Filters

  • From / To: Choose the timeframe to cover in the generated report.
  • Sale Status: Choose whether the report includes sales with a status of Open, Closed, or Draft.
  • Sales Type: Choose either Sales Credit Invoice or Sales Invoice. (The other options are no longer relevant.)
  • Show Columns: Choose what type of data you want included in the report.
  • Show Participant Type: Select the specific participant type you want displayed in the report.
  • Filter Participant Type: Choose a specific contact record for the participant type you selected in the previous drop-down list (e.g., "Client" John Smith or "Attorney" James Davis). The report will only return matters with these participants.

NOTE:  The best way to use this report is to customize it by selecting different filters that create different views of the data and saving the configuration so you can regenerate the report in the future. For example, you might want to create a report called Open Invoices by Client and Attorney. To do this, you might choose the following filters:
• Sale Status = Open
• Sales Types = Sales Invoice
• Show Columns = Our Reference (e.g., invoice #, Date Due, Total, Paid, Due)

 


Report Output

  • Seq #: Shows the invoice ID number.
  • Matter Type: Shows the matter type associated with the invoice.
  • Matter ID: Shows the matter ID for the matter associated with the invoice.
  • Matter Name: Shows the matter name for the matter associated with the invoice.
  • Individual columns: Depending on which options you selected for the Show Columns filters, those columns will also appear and report the data for that information type.
  • Client: Shows the name of the client associated with the invoice.

 


Additional Notes

The data in this report can more easily be viewed by using the Invoice list view under Accounting.
