The Xero integration in Actionstep Practice Management is designed for one-way data flow, meaning information flows from Practice Management to Xero (and not vice versa). Refunds are not supported by this one-way integration and as a result, the Refund button is disabled when your system is connected to Xero.
There are four parts to processing a refund when your system in connected to Xero. They are:
- Disabling the Xero Sales Invoice sync
- Processing the refund
- Reenabling the Xero Sales Invoice Sync
- Processing the refund in Xero (separately)
Part 1: To disable the Xero Sales Invoice sync:
CAUTION: Disabling this option prevents invoices from being posted to Xero. Consider asking those you work with to hold off posting invoices until this option is reenabled.
- In Practice Management, go to Admin > Accounting. The Accounting page appears.
- Click Edit next to the Xero: Mapping option. The Xero Integration Configuration page appears.
- In the Synchronization section, toggle Sales invoices to off.
- Click Save.
Part 2: To process the refund:
- In Practice Management, click the global Create button and choose Client Refund from the list of options that appears. (You may need to click Show all if you don't see this option.) The New Client Refund window appears.
- Fill in the necessary details and complete the refund process. (See Refunding Money to Clients for complete instructions.)
Part 3: To reenable Xero Sales Invoice Sync:
- In Practice Management, go to Admin > Accounting. The Accounting page appears.
- Click Edit next to the Xero: Mapping option. The Xero Integration Configuration page appears.
- In the Synchronization section, toggle Sales invoices to on.
- Click Save.
Part 4: To process the refund in Xero (separately):
- In Xero, manually process the same refund. (See the Xero help for complete instructions.)
