You can select items within a matter and export them in a ZIP file that can be downloaded and shared externally. Supported files include documents, emails, file notes, SMS messages, and phone calls (see Supported File Types (below) for a complete list of supported file types). Exported ZIP files will be saved to the list of documents.
Exported ZIP files have a 3,000 item / 3 GB size limit. If the size of your export exceeds this limit, consider exporting your files in smaller batches.
Before you begin:
- To enable this option, an admin user must go to Admin > General settings and toggle Matter View Bulk Export to on.
To export files from a matter:
- In Actionstep Practice Management, view the matter whose files you want to export. (See Editing a Matter for help.)
- Click the matter's View menu icon. The Matter View page appears.

Select the files you want to export.
Note: To select all files in the list, select the Select all checkbox. As long as your selection doesn't exceed the file size limits (3,000 files or 3 GB), all files will be selected. If your selection does exceed the limit, you will be asked to select fewer items. Information along the bottom of the list helps you know how close you are to reaching these limits.
- Right-click on any of the selected files and choose Export from the list of options that appears.
The files you selected are saved to a ZIP file, which is added to the Exports folder on the left side of the Matter View page.
After the ZIP file has been created, you can download and share it with its intended recipient. To do this, click the Exports folder. Then, right-click on the ZIP file you want to share and choose Download from the list of options that appears. The file is saved to your browser's default Downloads folder.
Supported File Types
You can export the following file types from the Matter View page:
- Office files: .doc, .docx, .xls, .xlsx, .ppt, .pptx
- PDF files: .pdf
- Image files: .apng, .avif, .bmp, .cur, .gif, .ico, .jfif, .jpg, .jpeg, .pjpeg, .pjp, .png, .svg, .webp
- Video files: .mp4, .mov, .mkv, .ogv, .webm
- Audio files: .mp3, .ogg, .wav
- Email files: .msg, .eml (exported in original stored format)
- File notes: Exported as .pdf
- SMS messages: Exported as .txt
- Phone calls: Exported as .xtx
